1. Description of the VITALOGRAPH VITALINK SOFTWARE

The Vitalink software is intended to be used for automating the transfer of subject and test data results between Vitaograph’s Spirotrac Software and supported Electronic Medical Record (EMR) systems (or Patient Management System, PMS). Vitalink is a standalone software application, which is designed to run on a desktop personal computer (PC). The software interfaces with the Vitalograph’s Spirotrac® application and a number of EMR systems including Vision and EMIS Web.

Vitalink provides functions, which allow users to extract a subject for testing from the EMR system, test that subject in Spirotrac and pass the resulting test data back to the EMR system, see Figure 1 below. The logical sequence of steps for selecting the subject, performing the test and returning the results to the EMR system are controlled and managed by the Vitalink software. The graphical user interface (GUI) interaction is limited to launching the application via a Windows® shortcut, configuring the application through a configuration screen, and a status window to display the current progress of the application.

3. SYSTEM REQUIREMENTS

3.1 Recommended Requirements

NOTE: Minimum and recommended system requirements can be found in the Release Notes.

 

3.2 Pre-Requisites

The following is a list of pre-requisites that must be satisfied by your system in order to successfully install and run Vitalograph Vitalink.

  1. Microsoft .NET 4.0 framework must be installed on your system. If it is not installed, Vitalink will install it during the installation process.
  2. Internet Explorer 6.0 with SP1 shall be required to complete the installation process.
  3. An installation of Vitalograph Spirotrac V.
  4. Vision or EMIS Web for Windows installed on the same client PC as Vitalograph Vitalink.
  5. An installation of Vitalograph Spirotrac on a client PC which can communicate with Vitalograph Vitalink.

4. LICENCE KEY

Important: The licence key may only be activated by a user with Administrator access rights on the PC. Once the software licence has been activated, it is activate for all users of that PC.

The first time the Vitalink application is run, you will be prompted to enter a software licence key. The software licence key is obtained from Vitalograph. To activate the software, enter the software licence key and click the “Activate” button. Then “Close” the licence key screen.

The Vitalink licence key is valid for a period of 1 year and a new key must be obtained from Vitalograph prior to or on the expiry of the current key. 30 days prior to the expiry of the key, the Vitalink software shall display a message on execution of the software to indicate that the key is about to expire. If you wish to renew your key before it expires, obtain a new key from Vitalograph and then go to the Configuration Screen and click the “About…” button. In the About Screen, click on the “Licence Key” button. The Licence Key screen shall be displayed. Clear the existing software licence key that is displayed in the Software Licence Key field and enter the new key. Click the “Activate” button and then “Close” the Licence Key screen.

If your existing software licence key expires, the software shall display the software licence key screen. It shall not be possible continue beyond this screen in the software until a new and valid software licence key has been entered and activated.

 

5. CONFIGURING THE APPLICATION SETTINGS

The first time the Vitalograph Vitalink application is run, the configuration settings screen will be displayed. Alternatively, the configuration settings screen may be launched through the “Configuration” Windows short-cut located in All Programs- >Vitalograph->Vitalink. The application settings must be completed and saved before communication and transfer of data may occur between the Spirotrac, Vitalink and the installed EMR system.

 

5.1 Application Settings

This application settings tab on the application settings form allows the user to configure the location of their Spirotrac installation and their EMR system settings so that the link may be established between the applications – See Figure 2.

5.1.1 Spirotrac Directory Settings

Either Browse using the “…” button or automatically search for the directory location where Spirotrac has been installed on the PC.

 

5.1.2 EMIS Settings

  1. Make sure EMIS is selected as the “Practice Management System”
  2. Choosing EMIS - Depending on what version of the software installed at installation time, the associated practice management system will be displayed as the “Application Type”. To change the application type, it is necessary to uninstall Vitalink and then reinstall the correct version.
  3. - Enter the IP Address or Machine Name of the EMIS server
  4. – Enter the Database name for EMIS PCS in the “Database Name” field

Note: The values for the settings in steps 3 & 4 above are provided to you by EMIS

 

5.1.3 Vision Settings

  1. Username: A valid Vision user with access to the Vision database
  2. Password: The password associated with the Vision user

 

5.1.4 PDF Settings

Tick the checkbox to file the Spirotrac Spirometry PDF reports.

Note: Spirotrac must also be configured to export PDF reports.

 

5.2 Test the Connection to the EMR System

To test that Vitalink can successfully connect to the configured EMR system, click on the “Test Connection” button. If the connection fails, check the following:

Note: The EM_PACC.dll is an EMIS dll and as such, EMIS take care of registering the EM_PACC.dll.

 

5.3 Read Codes

The read codes tab on the application settings form allows the user to configure which test parameters and associated results they wish to transfer from Spirotrac tests to the chosen EMR system. The test parameters and associated results are transferred and stored in the chosen EMR system as read codes.

5.3.1 Test Results

5.3.2 Post Test Results

The user may choose to transfer and file post-test results using either post bronchodilator or post-steroid read-codes. It is not possible to file post-test results for both post bronchodilator and post-steroids during one transmission.

When Vitalink encounters post test data from a Spirotrac test, it files the test results in the chosen EMR system using selected post-test parameters. For post tests, the Vitalink application will substitute read codes in the test results table above, for user selected “post steroid” read codes or “post bronchodilator” read codes as detailed in the tables below.

5.3.4 ECG Test Results

The user may choose to transfer and file ECG test results from Spirotrac to the EMR system. The following is a list of the parameters and associated read codes that may be selected for transfer.

5.4 Saving the Application Settings

5.4.1 Save Button

The “Save” button will save all application settings to the application configuration file Spirotrac and the EMIS PMS.

 

5.4.2 Done Button

If the Configuration Settings screen was launched from the “Configuration” Windows short-cut then the Configuration Settings screen will simply close. However, if the configuration screen was loaded after the user clicked on the “Vitalink” Windows short-cut, clicking the “Done” button will automatically start the link between

 

5.4.3 Cancel Button

The “Cancel” button will close the Configuration Settings screen without saving any changes made to the settings since the last save.

 

 

6. Testing a subject

Before performing any tests, firstly make sure that the application Pre-Requisites have been satisfied and the application settings have been successfully configured. To perform these tasks, please review the “Pre-Requisites” and “Configuring the Application Settings” sections of this help.

  1. Make sure the EMR system user is logged onto the chosen EMR system.
  2. Select a subject for testing in the EMR system. Do not proceed to step 3 until a subject has been selected.
  3. Click on the Vitalograph “Vitalink” application short cut under All Programs->Vitalograph->Vitalink.
  4. If it is the first time running the application for the current Windows user, then the application must be configured. Reference the Help content on “Configuring the Application Settings”.
  5. A status window shall be displayed to show the current step in the data transfer between the Spirotrac and the EMR system.
  6. When both Spirometry and ECG test types are enabled, a prompt will appear for user to indicate which test type is to be performed in this session. Select the appropriate test type.
  7. Spirotrac will automatically load with the selected subject’s details, which will be displayed in the Patient Information Screen. Select the subject to start testing.
  8. Perform the test(s) in Spirotrac and then close the Spirotrac application.
  9. The test results will be automatically transferred by the Vitalograph Vitalink application to the EMR system. Once the transfer has completed, the user shall be notified via a Windows message box as to whether the transfer was successful or not.
  10. Once the transfer has been successfully completed, the test results shall appear as a new consultation for the Subject in the EMR system.


7. Fault Finding Guide

Problem Fault Symptoms:

Vitalink cannot connect to the EMIS system

Possible Causes:
(In probable order)
  • A user must be logged onto the EMIS system to establish a successful connection. Vitalink will log on automatically with the current EMIS user.
  • Make sure the Practice Management System application settings are correct
  • Make sure the EMIS client has been properly installed and configured
  • Make sure the EM_PACC.dll has been successfully registered; reference the Pre-Requisites section of this help.

 

 
Problem Fault Symptoms:

Unable to activate the software licence key

Possible Causes:
(In probable order)
  • You do not have administrative rights on the PC. Only administrators of the PC are allowed to activate the software licence key.
  • The licence key has expired. A new licence key must be obtained from Vitalograph

 

 

8. Customer Service

Service and repairs should only be carried out by the Manufacturer or approved Servicer.

9. CE Notice

Marking by the symbol CE indicates compliance of the Vitalograph Vitalink to the Medical Devices Directive of the European Community.

 


10. Guarantee

Subject to the conditions listed below, Vitalograph Ltd. and its associated companies, (hereinafter called the Company) guarantee to repair or at its option replace any component thereof, which, in the opinion of the Company is faulty or below standard as a result of inferior workmanship or materials.

The conditions of this guarantee are:-

  1. This Guarantee shall only apply to hardware defects which are notified to the Company or to its accredited distributor within 1 year of the date of purchase of the equipment, unless otherwise agreed in writing by the Company.
  2. Software (meaning computer software, or user installable modules) is guaranteed for 90 days from the date of purchase.
  3. The Company warrants that the software when correctly used in conjunction with the hardware will perform in the manner described in the Company's literature and user manuals. The Company undertakes to rectify at no expense to the customer any software failure notified within the period stated above, provided that the failure can be recreated and the software has been installed and used in accordance with the user manual. Notwithstanding this clause, the software is not warranted to be free of errors.
  4. This Guarantee does not cover any faults caused by accident, misuse, neglect, tampering with the equipment, use of consumable items or parts not approved by the Company, or any attempt at adjustment or repair other than by personnel accredited by the Company, nor does it cover reinstatement of any configuration changes caused by the installation of any software.
  5. If a defect occurs please contact the supplier from it was purchased for advice. The Company does not authorize any person to create for it any other obligation or liability in connection with Vitalograph® equipment.
  6. This Guarantee is not transferable and no person, firm or company has any authority to vary the terms or conditions of this guarantee.
  7. To the maximum extent permitted by law, the Company does not accept liability for any consequential damages arising out of the use of, or inability to use any Vitalograph® equipment.
  8. This Guarantee is offered as an additional benefit to the Consumer's statutory rights and does not affect these rights in any way.

 


11. SOFTWARE LICENSE AGREEMENT

Software License Agreement

This is a legal agreement between you, the end user (USER), and Vitalograph Ltd., a Company registered in England, jointly and severally with its Associated Companies (VITALOGRAPH).

BY INSTALLING THIS SOFTWARE, YOU ARE AGREEING TO BE BOUND BY THE TERMS OF THIS AGREEMENT. IF YOU DO NOT AGREE TO THE TERMS OF THIS AGREEMENT, PROMPTLY RETURN THE COMPLETE SOFTWARE PACKAGE AND THE ACCOMPANYING ITEMS (including written materials and binders or other containers) TO THE PLACE YOU OBTAINED THEM FOR A FULL REFUND.

1. GRANT OF LICENSE - This VITALOGRAPH License Agreement (LICENSE) permits the USER to use one copy of the VITALOGRAPH software product acquired with this LICENSE (SOFTWARE) on any single computer, provided that the SOFTWARE is in use on only one computer at any time. If you have multiple licenses for the SOFTWARE then at any time you may have as many copies of the SOFTWARE in use as you have LICENSES. The SOFTWARE is "in use" on a computer when it is loaded into the temporary memory (i.e. RAM) or installed into the permanent memory (e.g. hard disk, CD ROM, or other storage device) of that computer, except that a copy installed on a network server for the sole purpose of distribution to other computers is not "in use". If the anticipated number of users of the SOFTWARE will exceed the number of applicable LICENSES, then you must have a reasonable mechanism or process in place to ensure the number of persons using the SOFTWARE concurrently does not exceed the number of LICENSES. If the software is permanently installed on the hard disk or other storage device of a computer and one person uses the computer more than 80% of the time it is in use, then that person may also use the SOFTWARE on a portable or home computer.

2. COPYRIGHT - The SOFTWARE is owned by VITALOGRAPH or it's suppliers and is protected by United Kingdom copyright laws, international treaty provisions, and other applicable national laws. If the SOFTWARE is not copy protected you may either (a) make one copy of the software solely for backup or archival purposes, or (b) transfer the SOFTWARE to a single hard disk provided the original is solely for backup/archival purposes. You may not copy the product manual or materials accompanying the SOFTWARE.

3. OTHER RESTRICTIONS - you may not rent or lease the SOFTWARE, but you may transfer your rights under this VITALOGRAPH LICENSE Agreement on a permanent basis, provided you transfer all copies of the SOFTWARE and all written materials, and the recipient agrees to the terms of the LICENSE. You may not reverse engineer, decompile or disassemble the SOFTWARE. Any transfer must include the most recent update and all prior versions.

LIMITED WARRANTY

VITALOGRAPH warrants that the software when correctly used in conjunction with the hardware will perform in the manner described in VITALOGRAPH's literature and user manuals for a period of 90 days from date of receipt. VITALOGRAPH undertakes to rectify at no expense to the customer any SOFTWARE failure notified within the period stated above, provided that the failure can be recreated and the SOFTWARE has been installed and used in accordance with the user manual. Notwithstanding this clause, the SOFTWARE is not warranted to be free of errors.

Any hardware supplied by VITALOGRAPH accompanying the SOFTWARE shall be free from defects in materials and workmanship under normal use and service for a period of one year from the date of receipt. If the above periods are less than that permitted by applicable law, then the period permitted by such law shall be applied.

This Guarantee does not cover any faults caused by accident, misuse, neglect, tampering with the equipment, use of consumable items or parts not approved by VITALOGRAPH, or any attempt at adjustment or repair other than by the accredited of VITALOGRAPH.

CUSTOMER REMEDIES - VITALOGRAPH's entire liability and your exclusive remedy shall be, at VITALOGRAPH's option, either (a) return of the price paid or (b) repair or replacement of the SOFTWARE or hardware that does not meet this Limited Warranty and which is returned to VITALOGRAPH with a copy of your receipt.  Any replacement SOFTWARE will be warranted for the remainder of the original warranty period or 30 days, whichever is greater.

NO OTHER WARRANTIES - TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, VITALOGRAPH DISCLAIMS ALL OTHER WARRANTIES, EITHER EXPRESSED OR IMPLIED, INCLUDING, BUT NOT LIMITED TO, IMPLIED WARRANTIES OF MERCHANTABILITY AND FITNESS FOR A PARTICULAR PURPOSE, WITH RESPECT TO SOFTWARE, THE ACCOMPANYING PRODUCT MANUAL AND WRITTEN MATERIALS, AND ANY ACCOMPANYING HARDWARE. THE LIMITED WARRANTY CONTAINED HEREIN GIVES YOU SPECIFIC LEGAL RIGHTS.

NO LIABILITY FOR CONSEQUENTIAL DAMAGES - TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, VITALOGRAPH AND IT'S SUPPLIERS SHALL NOT BE LIABLE FOR ANY OTHER DAMAGES WHATSOEVER (INCLUDING, WITHOUT LIMITATION, DAMAGES OF LOSS OF BUSINESS PROFITS, BUSINESS INTERRUPTION, LOSS OF BUSINESS INFORMATION, OR OTHER PECUNIARY LOSS) ARISING OUT OF  THE USE OF, OR INABILITY TO USE, THIS VITALOGRAPH  PRODUCT, EVEN IF VITALOGRAPH HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. IN ANY CASE, VITALOGRAPH'S ENTIRE LIABILITY UNDER ANY PROVISION OF THIS AGREEMENT SHALL BE LIMITED TO THE AMOUNT ACTUALLY PAID BY YOU FOR THE SOFTWARE.

This agreement is governed by the laws of England.
